Role, Team and Location
We are looking for a professional and service-oriented Front Office Assistant to join our team at our office in Heerlen.
You work closely with colleagues, facility providers and external service partners to ensure that daily office operations run smoothly. In this role, you are responsible for delivering professional front office services, coordinating facility-related matters and providing reliable administrative support to management and employees. With strong organisational skills, discretion and a hands-on mentality, you contribute to operational and professional continuity.
Key Responsibilities
As Front Office Assistant, you ensure a professional and welcoming reception that reflects the standards of the organisation. You welcome and host guests, arrange refreshments where required, manage visitor access and coordinate courier services and deliveries. You handle incoming calls in a clear and professional manner and ensure that all communication with visitors and external parties is efficient and service oriented.
You are also responsible for maintaining a well-structured and properly functioning office environment. By managing office and household supplies, you contribute directly to an organised workplace that supports productivity and employee satisfaction. A substantial part of your role will be organising business travel for employees. By overseeing the entire travel process carefully and independently, you enable efficient and professionally organised business travel without disruptions.
In addition, you provide reliable administrative support to employees and management. You manage multiple priorities effectively, work independently and deliver consistent, high-quality front office support that contributes to operational continuity.
What You Bring
Education & Experience
- MBO Administrative/Secretarial level 4 (or equivalent).
- Minimum of 5 years of administrative experience, preferably within an international environment.
Skills
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and Microsoft Teams.
- Excellent command of English; German is preferable (spoken and written).
- Strong organisational skills and attention to detail.
- Strong interpersonal and communication skills.
- Proactive, flexible and hands-on working approach.
- Discreet and able to handle confidential information.
- Ability to work independently and collaboratively at all organisational levels.
What You Will Get
- A preferred full-time position (40 hours per week); fewer hours are negotiable (minimum 32 hours).
- A gross monthly salary between €2.850 and €3.250 based on 40 hours, depending on experience and qualifications.
